BACKGROUND

Headquartered in Toronto, Canada, Ainsworth is a leading integrated, multi-trade company providing high quality “hard services” including electrical, building automation, HVAC, mechanical, technical and maintenance services for institutional, commercial, industrial and residential building clients across the country. Felix Wong is the Manager of Business Process Management for Ainsworth.

THE CHALLENGE

When the company was awarded a public-private partnership facilities management contract for the province of Alberta, they were responsible for operating 12 schools in the province. Ainsworth needed a solution that allowed end users to log in, submit work requests and view work orders for individual schools. Ainsworth sought a cloud-based CMMS solution to minimize the burden on the IT department, and to allow Ministry of Infrastructure to view aggregated data across the schools throughout the province.

The company is required to meet and was motivated to exceed contractual requirements. Ainsworth was also required to report on response time, completion time, and other key performance metrics in a timely manner. When Felix found eMaint, he noticed the robust report writer, and the flexibility of tailoring work orders and options for submitting work requests; these are other features set the system apart from other CMMS packages.

IMPLEMENTATION

To begin implementation, eMaint visited Ainsworth and trained users, including their system dispatcher, on the basics of the system. Then, Ainsworth created various workflows and reports, and spent time upfront to tailor the solution and work with the eMaint team. Creating accurate reports was a critical element for Ainsworth, due to their contractual obligations.

Ainsworth uses the system to track work for both in-house technicians and outside contractors. This work includes project work, demand maintenance, and preventive maintenance (PM) on HVAC systems, fire extinguishers and any life safety-related maintenance. PM work is auto-generated monthly, and work orders are automatically emailed to the appropriate technician once assigned.

Across the 12 schools, there are a variety of assets to manage, including boilers, heating systems, hot water tanks, flooring, doors, windows, lavatory sinks, drinking fountains and showers, grouped by building, floor level and more. Leveraging eMaint”™s flexible architecture, Felix and his team tailored work request screens and menus for streamlined access to relevant assets within their hierarchy.

RESULTS

Ainsworth has been able to maintain contractual compliance for 12 schools across the province of Alberta while important KPIs are continually monitored, such as response time, completion time, and satisfaction level. The company is able to provide full work order status and history to the individual schools, and a holistic view of the contract to the Ministry of Infrastructure.
